The Role:

In this role you will provide administrative and office support in our Italian office located in Milan, reporting to the EMEA Facilities and H&S Manager.

The role will be responsible for the facilities function with general office operations with this primarily being soft services together with administrative reporting.

Your Impact:

  • Support for the Facilities Manager with administrative tasks such as raising local purchase orders and budget controls
  • Coordinate 3rd party contracted services where applicable and review soft service provisions
  • Review and understand floor plans, space planning and coordinate small desk moves in conjunction with IT
  • Assist with events as a conduit between internal and external clients ensuring appropriate logistics and supply chain is appropriately coordinated
  • Collaborate with the Facilities Manager and update them on operational matters pertaining to the office
  • Responsible for the upkeep of all client facing and front of house areas ensuring the best possible appearance at all times
  • Care for routine tidiness checks of the office reporting and fixing faults, ensuring the working environment is always fit for purpose
  • Ensure stock levels of kitchen areas, conference rooms, printing areas and other office supplies are maintained
  • Own adhoc reception duties

  • Previous experience working in an office environment
  • An understanding of the facilities and office function
  • Experience of applying Health Safety legal requirements
  • Experience in a client facing role and interacting with internal/ and external clients
  • Proficiency in Microsoft systems and other software systems
