POSITION DESCRIPTION:

As Office Manager, you are responsible for ensuring that mandatory administrative matters for the country organization are properly handled “on time in full” to avoid legal, financial or regulatory complications for the business.

MAIN RESPONSIBILITIES:

  • Serve as the local point of contact for the landlord and attend landlord/building meetings as needed
  • With TMD support, manage the renewal of leases for building space
  • Manage upkeep of all maintenance contracts pertaining to the building
  • Raise purchase orders and code invoices to ensure payment is made on time
  • First point of contact for all H&S matters for the local organization
  • Responsible for local H&S Policy
  • Mage and regularly update all assessments
  • Coordinate with the external H&S contractor on all mandatory maters as needed
  • Monitor mandatory training activities and organize training according to requested timing
  • Coordinate and direct to the relevant department local authority correspondence
  • Managing administration and documentation required in other ad hoc procedures, special projects or other needs which arise locally
  • Management and administration of the local car fleet
  • Providing information to employees on car fleet insurance
  • Manage payments of car taxes and insurances for own vehicles
  • Coordinate car fine with all company cars drivers – manage payment process internally to settle all fines on time
  • Manage incoming and outgoing post and parcels including franking machine upkeep
  • Answer the telephone, welcome visitors and be the first face of Amer Sports
  • Manage local insurances with external provider

YOUR PROFILE:

  • Administrative experience, ideally with responsibility for facility management
  • English spoken and written at a good level
  • Swedish native or proficiency level
  • Profile of a team player
